Booking Conditions

Making a booking with Trekili Eco Expeditions (hereinafter referred to as "Trekili") is taken as acceptance by the customer of the following terms and conditions;

  1. Name of Business registered: Trekili Eco Expeditions Co. Ltd Tanzania # 86257; Trekili Eco Expeditions Pty Ltd, Australian ABN# 86155021980, ACN#155021980
  2. Fees required for programs: As outlined on the Trekili Eco Expeditions website http://trekili.com

Reserving your space

Trekili groups are intentionally small so it is advised that you book as soon as possible. Clients often choose their route and book their departure dates up to one year in advance to fit into their lifestyle and vacation schedule. As soon as you are ready to begin your journey, complete your electronic application or send us an email to confirm that space is available on your preferred trip and departure date.

Payment Schedule

  • At time of reservation - $500 (unless otherwise noted), which includes a $75 non-refundable registration fee
  • 90 days prior to the first land day of your trip - $500 additional
  • 60 days prior to the first land day of your trip - Balance of trip cost - final payment by credit card, wire transfer, cheque or cash.

Reservations and Payments

Payments in $USD can be made via Visa, Mastercard, American Express Online and wire transfer to Trekili Eco Expeditions Pty Ltd, Stanbic Bank, Arusha, Tanzania (contact us for bank and SWIFT details). Once you have paid your deposit you will receive your total expedition invoice with payment due 90 days prior to the first day of service provision. The land cost of your trip will be charged to your credit card automatically on the dates listed in the payment schedule. If you need to change credit cards please do so prior to the charge date. Once your card is charged, if you decide to use a different card, we will charge you the 3% processing charge

Day of Service Provision is defined as midnight/midnight on the stipulated date of service provision

Late Sign-up & Payments

Participation applications within 60 days for all our programs require full payment at time of sign-up. Should you incur last minute charges for services (e.g., rental equipment) and/or your balance is not paid 15 days prior to trip departure, your credit card will be automatically charged.


Cancellation by you
 Should you wish to cancel your trip in whole or in part, notice can be given verbally but must be followed up by email. The cancellation charge is shown as a percentage, this is calculated on the basis of the total cost of the program components being cancelled. The amount of the cancellation fee depends upon the time period as defined by the interval between the arrival of your email notification of cancellation at our Tanzanian office and the scheduled arrival time by the customer at the day of service provision. The scale of cancellation charges is as follows:

  • 00 to 45 days : 100% of your package price
  • 46 to 60 days : 65% of your package price
  • 61 to 89 days : 50% of your package price
  • 90+ days : Deposit

Clients wishing to cancel their expedition must do so in writing to Trekili Eco Expeditions. Upon receipt of your cancellation, all of your investment will be refunded less the following cancellation charges, deducted from the total expedition price.

  • 90 + days before departure: Deposit
  • 89 to 61 days before departure: 50% of the package price
  • 60 to 46 days before departure: 65% of the package price
  • 45 days or less before departure: 100% of the package price

Participants are strongly urged to purchase trip cancellation insurance.

Rain Checks

Clients wishing to defer their trip must do so in writing. The following charges will apply:

  • 90 + days prior to departure -No charge
  • 45 to 90 days prior to departure - $150
  • 5 to 44 days prior to departure - $300
  • 0 to 4 days prior to departure – Unless you have compelling reasons you may loose you entire costs, so contact us immediately!

If we are able to offer you a rain check we will retain your deposit and apply it to your new Trekili expedition. If for whatever reason you choose to cancel your proposed expedition, we will take the original notification date to be the cancellation date and calculate your cancellation fees on your existing departure date.

Single supplement

If you are travelling alone and join a Trekili Mt Kilimanjaro, Mt Meru climb or Safari, we will match you up with a roommate of the same gender. Should you prefer your own room at your accommodation in Arusha and/or tent while on our Mt Kilimanjaro expeditions, it will incur an additional cost. If due to an odd number of trekkers, you subsequently have to sleep in a single room or tent, we will not charge you the single supplement. Note for Mt Meru: Accommodation is communal hut styled accommodation and as such there is no single supplement available.

Early Departues:

No refunds will be given for participants leaving a trip by personal choice, or by direction of the guide. Unscheduled services such as transportation, hotels and meals etc.., are the responsibility of the participant.


No partial refunds will be given for unused hotel rooms, meals and airport transfers for any reason whatsoever. Trekili reserves the right to increase the expedition price in the event of cost increases including currency fluctuations, TANAPA park fee increases or fuel surcharges. Trekili reserves the right to alter the expedition without notice.

Trekili is not responsible for expenses incurred by trip members in preparing for the trip (medical appointments, immunizations, visa fees, insurance and equipment)

Guaranteed Mt Kilimanjaro and Mt Meru Departures. All of our mountain trek departures are guaranteed – even if there is only one climber. There is no prerequisite minimum numbers for any climbs. All treks will go ahead as scheduled.

Program Inclusions/exclusions

Inclusions as outlined in the respective itineraries

Exclusions applicable to all programs;

Costs of visas; immunizations; international airfare; excess baggage charges; airport departure taxes; travel insurance; medical insurance, sightseeing, game drives or meals not listed in each itinerary; personal expenses such as beverages (other than those included with meals, as listed in each itinerary), room service, souvenirs, laundry, communication charges, medical or extra evacuation fees, staff gratuities. Additional transportation, accommodation, and meals incurred by a client unable to continue a planned itinerary due to illness, health, medical conditions or due to airline schedule changes.

Special Requests
 Prospective clients should advise Trekili of any special request (special diet or on account of physical disability) at the time of enquiry or submitting a reservation. We will do our utmost to meet such requests wherever possible.


Trekili shall not be responsible for any delay, interruption or cancellation resulting from client's failure to provide the required documentation to immigration or other government authorities at any time.

Health Considerations

Clients should seek advice from their medical practitioner, health care provider or travel clinic to ensure that they have up to date Vaccinations. In many African countries Yellow Fever and Cholera vaccinations are mandatory. You will be asked to produce your yellow fever vaccination record by immigration or upon returning home. Before visiting Tanzania and other parts of Africa, you may need to get vaccinations and medications for vaccine-preventable diseases and other diseases you might be at risk for at your destination

Malaria is prevalent in most African countries at elevations below 1800 metres. Speak with your health care provider or travel clinic to discuss the appropriate prophylactic treatments.

It is the client's responsibility to ensure that all travel documents and vaccinations are current and valid for the journey in question.

Medical Fitness Disclosure

It is a prerequisite for all trekkers to disclose any known medical conditions that may affect your ability to trek over extended distances at altitude under austere conditions. It is highly recommended that all trekkers undertake a general health medical consultation with their health care practitioner or travel clinic to ascertain your level of health and wellbeing.

Your health and safety on our expeditions is our number one priority.

Safety and Risks

Mountain climbing is an inherently hazardous undertaking


Trekili's liability to passengers carried in its own vehicles is governed by the laws of the country in which the tour takes place.


It is a condition of booking that clients are individually insured for all our programs. As a minimum, clients must have medical evacuation rescue insurance. Most people are not aware of the serious deficiencies of their health insurance, travel insurance, platinum card program or SOS hotline service and therefore are placing themselves at risk of significant liabilities associated with medical evacuation, hospitalisation and treatment. Trekili has partnered with Global Rescue for advanced medical consultation, emergency evacuation and field rescues and we recommend their insurance policy. Insurance should cover, at least:

  • personal accident including death and disability
  • medical expenses
  • repatriation
  • trip cancellation
  • loss of baggage and personal effects

Proof of insurance must be submitted to Trekili prior to the first day of service provision. Participants are also strongly urged to purchase trip cancellation insurance due to the uncertain nature of mountain trekking and safaris.

Medical care, as you understand it, may not be available outside your home countries. You may be hours or days travel by from any medical facility. The medical facility you may be treated in may not have the same standards as hospitals or medical practices found in the developed world. The medical personnel you will be treated by may not have the same training as medical personnel that you are accustomed to. Clients will be exposed to bacteria, viruses and diseases, which may be rare or unknown in your home countries. Clients will need to be vigilant in your normal daily habits such as eating and hand-washing.


Trekili only serves as an agent for hotels, transportation companies and land operators and that no responsibility or liability is assumed by Trekili in connection with any travel service, including but not limited to airlines, hotels, and motor vehicle operators, and that Trekili will not be responsible for any act, error, omission, nor any injury, loss, accident, delay, irregularity, or danger by a supplier of travel services to participants in Trekili programs.

Trekili reserves the right to increase the tour price in the event of cost increases due to changes in airfares, currency fluctuations, park fee increases or fuel surcharges. Trekili reserves the right to alter the tour without notice.

All itineraries are subject to termination without liability upon the occurrence of any circumstance beyond our control. Reasons for cancellation could be unforeseen circumstances related to natural disaster, pandemic, government regulations, riot, weather or safety and security considerations.

Participants Agreement, Release and Assumption of Risk

In consideration of the services Trekili Eco Expeditions, their agents, owners, officers, volunteers, participants, employees, and all other 
persons or entities acting in any capacity on their behalf (hereinafter collectively referred to as "Trekili"), I hereby agree to release, indemnify, and 
discharge Trekili, on behalf of myself, my spouse, my children, my parents, my heirs, assigns, personal representative and estate as follows:

  1. I certify that I have adequate insurance to cover any injury or damage I may cause or suffer while participating, or else I agree 
to bear the costs of such injury or damage myself. I further certify that I am willing to assume the risk of any medical or physical 
condition I may have.
  2. I expressly agree and promise to accept and assume all of the risks existing in this activity. My participation in this activity is purely 
voluntary, and I elect to participate in spite of the risks.

  3. I hereby voluntarily release, forever discharge, and agree to indemnify and hold harmless Trekili from any and all claims, demands, or causes 
of action, which are in any way connected with my participation in this activity or my use of Trekili equipment or facilities, including any such claims 
which allege negligent acts or omissions of Trekili.

  4. I certify that I have adequate insurance to cover any injury or damage I may cause or suffer while participating, or else I agree 
to bear the costs of such injury or damage myself. I further certify that I am willing to assume the risk of any medical or physical 
condition I may have.
  5. Should Trekili or anyone acting on their behalf, be required to incur attorney’s fees and costs to enforce this agreement, I agree to indemnify 
and hold them harmless for all such fees and costs.
  6. In the event that I file a lawsuit against Trekili, I agree to do so solely in the country of East Africa, and I further agree that the 
substantive law of that country shall apply in that action without regard to the conflict of law rules of that state. I agree that if any portion of this 
agreement is found to be void or unenforceable, the remaining portions shall remain in full force and effect.

By signing this document, I acknowledge that if anyone is hurt or property is damaged during my participation in this activity, I may be found by 
a court of law to have waived my right to maintain a lawsuit against Trekili Eco Expeditions on the basis of any claim from which I have released them herein.

I have had sufficient opportunity to read this entire document. I have read and understood it, and I agree to be bound by its terms and conditions.
